SUMMARY
This role responsible for delivering key operational support activities for Baxter Homecare Services reporting to the Patient Services Manager.
Key Accountabilities
- Supporting the Operational Excellence Manager and Commercial Manager with Patient Services project development.
- Collaboration with Homecare Insights Manager, Senior Product Manager and Compliance and Governance manager to support projects e.g. Patient Survey, Communications, Patient Newsletters.
- Responsibility for the quality and integrity of business-critical master data across multiple systems and for maintaining the master data to a high level of accuracy in line with business policies and data standards.
- Collaborate with the Inventory manager to ensure all Baxter Homecare Services product availability for all Therapies. Ensures site forecast is adjusted for all sites and Inventory and Supply Manager.
- Assisting Patient Services Manager / Principal Pharmacist with Bank Holiday planning.
- Assisting Patient Services Manager / Principal Pharmacist with Compounded Nutrition volumes movement.
- Back Order Management for Baxter Homecare Services sites (Cheadle/St Albans).
- Management and reduction of compounded nutrition wastage (including rejected compounded bags from Thetford Compounding unit) and collaborating closely with Patient, Pharmacy and Thetford services team to plan rectification and develop improvement plans.
- Management and reduction of all therapies ancillary wastage and liaising with Patient, Pharmacy and Nursing services team to plan rectification and develop improvement plans.
- Creation of new customer accounts, collaborating with Commercial Account Managers, Pricing/Contracts team, Patient Services, Invoicing and Pharmacy teams.
- Management of all incoming POST and filing of original prescriptions.
- Management of route codes in JDE and Homecare, including the creation of the new calendar years.
ESSENTIAL CRITERIA
Qualifications
- Dispensing Assistant Qualification or equivalent (minimum of Regulated Qualifications Framework Level 2 as defined in GPhC guidance) is desirable.
Experience
- Direct experience of working in commercial or medical customer service/patient management roles.
- Direct experience of working in UK high-tech medical homecare services is desirable.
- Experience of maintaining data to a high level of accuracy across multiple systems
- In-depth experience of using customer/patient relationship management systems.
- Proven experience of strong administration skills handling high volume workloads.
Skills
- Strong verbal and written communications skills (e.g. professional telephone manner) including with senior collaborators.
- Outstanding attention to detail and processes.
- Outstanding IT proficiency (including Microsoft Office/CRM systems).
- Excellent organisational & prioritisation skills in a fast paced environment.
- Strong collaboration skills within teams and across teams.
- Comfortable with managing and handling data/reporting.
Knowledge
- Solid understanding of healthcare products and services.
- Good knowledge of good practice of applying customer service skills
- Awareness of NHS structures (e.g. clinical teams, Trusts etc) and NHS frameworks would be advantageous.
