Your role at Baxter
This role provides department support to our Infusion Therapies and Technologies and Commercial Excellence leaders. The incumbent must be able to multi-task, operate in a fast-paced, matrixed and challenging environment. You will be able to prioritize and organize efficiently with minimal supervision. In addition, you will be required to maintain a high level of confidentiality.
The role works in conjunction with other department coordinators to provide support and share best practices.
What you'll be doing
- Coordinate meeting schedules and address mutual concerns with other department coordinators
- Prepare and coordinate meeting materials, including rooms, audio/visual, lunches/snacks, agendas, minutes, and presentations
- Prepare and/or coordinate management presentations and related documents
- Maintain and order supplies for the team, ensuring budget is not exceeded
- Organize travel arrangements for department personnel
- Compile and calculate monthly budget reports for leadership
- Ensure invoices are approved, coded, copied, and paid in a timely manner
- Maintain contact lists of department personnel
- Update organizational charts and scorecards as required
- Register department personnel for external training and conferences
What you'll bring
- College diploma
- 1+ years of experience within Office Administration for Finance and Accounting preferred
- Support role in a professional environment
- Prior work experience directly supporting a senior level executive or manager, healthcare sector experience, or experience working in a regulated environment
- Works autonomously, manages priorities, and demonstrates strong organizational and follow-up skills
- Exhibits excellent communication skills, strong attention to detail, and advanced proficiency in MS Office applications (Word, Excel, PPT, and Outlook)
- Develops and maintains basic web pages, with the ability to build relationships with key stakeholders
