Summary

The MARKETING ASSISTANT role is a pivotal role requiring a highly motivated professional with significant experience who will be centrally involved in the day-to-day business for the EMEA Advanced Surgery REGIONAL Marketing team specifically - but also with regional Medical  - to ensure that the regional team can support the overall quality growth of the Advanced Surgery portfolio in EMEA, can translate into actionable strategies/activities and can spearhead the development of country commercial execution plans to further grow Baxter’s AS business.

Essential duties and responsibilities

Outstanding EMEA region support in execution of projects:

  • Own the shared EMEA folders and files to share all relevant data and files within the region,
  • Support in planning and management of events incl. pre-program planning and process management,
  • Prepare required documentation for Healthcare Professional (HCP) interaction under the Compliance policy,
  • Initiate grants, coordinate approval, and follow-up on actions including communication, invoices and payments (applying legal & compliance regulations), budgeting and cost tracking,
  • Collect and summarize data, produce meaningful reports in a timely and accurate manner for partners,
  • Upload Marketing materials for compliance (AdProm) approval,
  • Supplier/Vendor management,
  • Handling of Purchase Orders,
  • Project coordination & support: as the need arises, track and supervise deadlines on programs/projects; data collection from key partners,
  • Build/prepare correspondence, presentations, and other communication material as required,
  • Consolidate presentations e.g. for monthly regional calls and prepare presentations on pre-defined topics,
  • Arrangement of bigger on- & offline external/internal meetings/calls,
  • Liaise with congress organizations and/or work with the relevant Baxter events teams, event agencies, suppliers, event locations, and hotels; handle attendees.

Who are we looking for?

  • 2-5 years of experience in a commercial support role such as Marketing Assistant, Management Assistant, Communication Specialist or similar
  • A university degree is a must
  • Experience working in a fast-paced international environment, ideally experience in the healthcare sector
  • Ability to prioritize, multi-task, and work on projects,
  • High attention to detail and good analytical skills
  • Comfortable working in a team as well as independently
  • Proactive, results-driven and self-motivated
  • Top communicator, influencing, negotiation, and teamwork skills as well as critical thinking & project management skills cross-culturally
  • Ability to embrace and adapt to change, to manage and succeed in ambiguity, mature approach
  • Proven track record of operating successfully in a matrix, cross-functional and geographically dispersed team environment is a major plus
  • Excellent knowledge of MS Office (Word, Excel, Outlook, PowerPoint) and SharePoint, ability to edit PDFs/video files is an advantage
  • Additional good knowledge of electronic and digital tools desired
  • Proficient in spoken and written English
  • Another main WEU language like German, French, Italian, and Spanish is nice to have
  • Passion and determination to learn new skills
