What You'll Do:

Project Operations Administrators support project teams by managing daily operations, logistics, and administration.

We're a friendly, collaborative group of people who push each other to do better every day. We find unique strategies to close deals and expand our skills by challenging ourselves and others.

What you'll be doing

  • Project Planning & Coordination: Quality reviews of Post-PO project documents and support the creation of project schedules, task assignments, and resource planning to keep efforts aligned with timelines and scope.
  • Documentation Management: Create, maintain, and organize essential project records such as meeting notes, status reports, change logs, and supporting documentation.
  • Communication & Collaboration: Support sharing information between team members, leadership, and collaborators to ensure clarity, alignment, and transparency throughout the project.
  • Resource Management: Assist with tracking the allocation and usage of personnel, tools, and materials to ensure the right resources are in place at the right time.
  • Meeting & Logistics Support: Coordinate project meetings, draft agendas, take meeting minutes, and follow up on action items to keep momentum and accountability.
  • Progress Monitoring & Reporting: Track project achievements and deliverables, proactively flag issues or delays, and generate timely updates to project collaborators.
  • Budget and revenue Support: Monitor project revenue, budgets and expenses in partnership with the PM, helping to maintain cost visibility and support financial compliance.
  • Risk & Issue Support: Identify and help document operational risks or gaps, working with the PM and teams to support mitigation planning and issue resolution.
  • Quality & Process Adherence: Ensure project documentation, communications, and deliverables meet established quality and process standards.
  • Operational Problem Solving: Proactively address administrative roadblocks and discrepancies, supporting a smooth and uninterrupted project flow.

What you'll bring

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field or equivalent experience.
  • Demonstrated proficiency with MS Office (Word, Excel, PowerPoint).
  • Proficiency in financial software and tools, including Excel, financial management systems, and reporting tools. Ability to run pivots and generate reports in Excel is required.
  • Ability to define problems, identify solutions and follow through to completion.
  • Very effective rapport and consensus building skills.
  • Acute attention to detail and effective analytical skills.
  • Adept listening and positive communication skills.
  • Positive facilitation capabilities in working across diverse groups of people.
  • Excellent analytical and problem-solving skills with high attention to detail.
  • Effective collaboration with cross-functional teams through clear communication and relationship-building.
  • Ability to work well under pressure and meet tight deadlines.

We understand compensation is an important factor as you consider the next step in your career. At Baxter, we are committed to equitable pay for all employees, and we strive to be more transparent with our pay practices. The pay range for this role is $75,000.00 - $85,000.00 USD.
