Overview: The Grant Coordinator & Medical Support role is responsible for managing and facilitating the submission of grants into the PEGA system, as well as providing medical support to various projects and initiatives. This position plays a critical role in the organization’s ability to access and manage external funding opportunities while ensuring medical and compliance standards are met. The Grant Coordinator will work closely with various departments, including research, operations, and finance, to ensure that all grant-related processes run smoothly and efficiently.
Key Accountabilities:
Grant Submission & Management:
Lead the submission process for grants into the PEGA system, ensuring all required documents, forms, and compliance information are accurately completed and submitted on time.
Track, monitor, and report on the status of ongoing grant applications, maintaining clear communication with all stakeholders.
Coordinate with cross-functional teams (such as finance, legal, and project management) to ensure all necessary supporting documentation is provided for successful grant applications.
Ensure compliance with PEGA system requirements and organizational policies throughout the grant submission process.
Medical Support Coordination:
Provide medical and clinical support for various projects, ensuring compliance with healthcare regulations, medical guidelines, and best practices.
Assist in preparing medical documentation and data for grant submissions, ensuring accuracy and clarity in aligning with the project goals.
Collaborate with internal medical teams and external partners to ensure the accuracy and relevance of all medical-related information in grant proposals and reports.
Monitor the impact of grants related to medical programs, ensuring they meet objectives and timelines.
Project Coordination:
Lead the planning, execution, and tracking of grant-funded projects to ensure successful outcomes.
Create and manage project timelines, milestones, and budgets for grant-funded initiatives, ensuring alignment with overall organizational goals.
Act as the point of contact for all project stakeholders, ensuring communication and collaboration are maintained throughout the grant lifecycle.
Identify and address potential project risks or issues, working proactively to mitigate delays or challenges.
Cross-Functional Collaboration & Communication:
Foster effective collaboration between different departments to ensure all aspects of grant management and medical support are aligned and completed on schedule.
Act as a liaison between the grant submission team and other key stakeholders, ensuring transparency, clear communication, and accountability.
Provide regular updates on grant submissions, project progress, and financial performance to senior management.
Grant Compliance & Reporting:
Ensure that all grant submissions comply with the relevant regulations and guidelines established by funding agencies.
Prepare and submit progress reports and final reports for each grant, ensuring that milestones and objectives are met.
Provide regular updates and reports on grant performance, ensuring that financial and project outcomes are on track.
Innovation & Continuous Improvement:
Identify opportunities to streamline and improve grant submission processes, making them more efficient and effective.
Support the team in the adoption of digital tools and best practices for grant management and reporting.
Encourage innovative thinking within the team to improve grant-related processes and outcomes.
Essential Criteria:
Education:
Bachelor’s degree in Business Administration, Healthcare Management, Project Management, or a related field. A Master’s degree is a plus.
English And French is a must.
Experience:
Minimum of 5 years of experience in grant coordination, medical support, or a related field, preferably in the healthcare or pharmaceutical sector.
Proven track record of successful grant submissions, including experience with systems like PEGA.
Experience in coordinating cross-functional teams and managing medical support tasks in complex projects.
Skills:
Strong knowledge of grant management systems, with a preference for experience with PEGA.
Excellent organizational, project management, and communication skills.
Ability to work independently and handle multiple tasks simultaneously in a fast-paced environment.
Detail-oriented with the ability to manage complex documentation and reporting requirements.
Medical Knowledge:
A background in medical or healthcare-related fields is highly preferred.
Familiarity with medical compliance regulations and best practices in healthcare management.
Desirable Criteria:
Experience in the healthcare, pharmaceutical, or clinical research sectors.
Familiarity with digital tools for project management and grant submissions (e.g., PEGA, Versia, TrueVue).
Proficiency in additional languages is a plus, particularly in regions where the company operates.
Certifications in grant management or healthcare project management are advantageous.
