Your role at Baxter:
AtBaxterHealthcareCorporation, we arededicatedto making ameaningfuldifference in the healthcare industry. We are currently seeking anexceptionally skilled Executive Assistant to join our ambitious team! This outstanding opportunity will allow you to work closely with our top executives, contributing to elite projects and helping us achieve detailed execution in all our endeavors.
What you'll do:
Assist board and/or management levels, coordinating agendas, sorting correspondence / e-mails, performing follow-up and streamlining matters under their purview.
Prepare/type/print letters, notices, circulars, contracts, tables, graphs and other documents, presenting them in a standardized way, as well as providing for their reproduction and distribution.
Receive visitors, identifying them, providing information and advising them to the requested areas/people.
Prepare the meeting rooms and coordinate internal events, videoconferences, lunches and receptions for visitors, verifying vital material and advance scheduling, as well as confirmation of participants.
Coordinate national and international trips, preparing budgets, contacting agencies, requesting ticketing, transfer, accommodation and car rental, providing documentation (passport / visas) and supervising/intermediating all related actions.
Control expenses / various expenses, preparing spreadsheets and monthly reports.
Perform other administrative support activities, filling out documents, making/receiving phone calls, organizing files, among others.
Identify the needs of building maintenance, as well as prepare budgets / quotations for the execution of maintenance and hire professionals and outsourced companies, after approval of the immediate superior.
Check technical documentation of services provided in maintenance.
Controlstocksofinputs, materials and products, as well as make requests aimed at adjusting stock levels, according to established procedure.
Manage the provision of outsourced services, such as security, pantry, kitchen, cleaning and reception, ensuring excellence in service and accordance to he clauses provided for in the contract.
Manage the fleet, schedule of revisions / maintenance, compliant to the asset use policy and contributing to the preservation of our assets.
Ensure the consistency of the department's budget, through its planning and control of short and medium-term goals.
Contribute to the actions of continuous improvement of the company's driven capacity, from the point of view of the area's process, through the analysis of indicators, issuance of opinions and suggestions.
Guarantee the standards and procedures established by Baxter, as well as the implementation and maintenance of health, safety and environmental programs in its area of operation.
Lead the team, through its selection, training, performance monitoring and administration of handling processes.
What you'll bring:
Confirmed experience in a similar position in an international company
Bachelor'sdegree in areas related to business management and executive assistance
Excellent level of English and proficiencyin IT tools (Office Pack, PowerPoint, Excel...)
Organized, adaptable, and demonstrating a high level of emotionalintelligence
Diligent, with the ability to take a global approach and becomecomfortablewithchangemanagement
