Our Oxford site are seeking a Customer Service Coordinator to join on 15 month fixed term contract basis. The role is fully site based and will require someone with a background in Customer Service. Essential Duties and Responsibilities: This section contains the primary responsibilities of the work. The incumbent will perform other duties as assigned.
Meeting Customer Requirements
- Customer liaison. Establish and maintain effective relationships with customers
Respond to email enquiries for service and products
- Order Receipt
- Processing of orders received via multiple systems
- Prioritisation of different order types
- Action daily backorder report
- Order Entry
- Accurate data entry of orders
Accurate data entry in multiple systems
- Assist in the set up and maintenance of new codes
Holds/Amendments/ Cancellations
- Updating and processing orders in line with customer requirements
Allocation of off hold order to correct location
- Workload planning
- Working with Planning and Production Teams to meet customer order delivery deadlines
Stock
- Liaising with Production and Warehouse teams over stock availability
Reports
- Completion of relevant reports
- Transport/Dispatch
- Scheduling of transport
- Completion of daily transport sheet
- Booking transport with couriers
- Processing transport charges
- Invoicing
- Invoicing customer orders- investigate invoice disputes/raise credits
Quality
- Filing and archiving of quality records and batch paperwork
Product Complaints logged and reported to Quality Manager
- Adherence to Customer SLA’s / failures reported to Customer Services Manager.
Logging and investigation of Service Complaints
- Adhere strictly to GDPR policy/Peripheral clinics (site specific)
- Liaise with Customer to manage and process peripheral clinic orders
- Checking of orders against clinic lists
