Your Role at Baxter

In this role, you will manage and support all strategic, operational, and logistical activities while functioning as a primary client liaison and team leader for assigned educational programs and/or promotional events, liaising with peers and third-party vendors as appropriate. You will be responsible for developing a comprehensive meetings and events calendar that aligns with the overall business strategy and objectives, working closely with commercial teams to create a unified approach to meeting and events management. You will work on other VIP projects in the area of marketing and promotions.

What you'll be doing
Partnering with strategic business unit management teams to streamline meetings and events management process, identify synergies and best practices across brands and therapeutic areas, and identify cost effective solutions to convention and events marketing.
Outlines deliverables for assigned program/event. Completes overall project timeline and budget; and facilitates prompt and accurate handling of all planning and logistical details.
Liaise with the Compliance to track and monitor all compliance related expenditures and reporting requirements.
Ensure the integrity of all HCP interactions at conventions and affiliated meetings in accordance with corporate guidelines and policies.
Monitor vendor compliance with related policies and procedures, most notably those relating to regulatory and compliance of promotional materials and interactions with HCPs.
Utilize tracking and measurement tools to determine the qualitative and quantitative effectiveness of expenditures across all therapeutic areas.
Develops initial budgets and manages overall project expenses and budget for assigned programs, actively participates in financial reviews.
Manages and negotiates items such as supplier relationships, audio-visual, general service contracting, hotel, transport and all third-party contracts.
Manages overall program/event budget, and communicates changes to management contacts and customers.
Initiates supplier payments, client invoices and project change orders. Works with accounting to review and complete final billing.
Independently interfaces with day-to-day customer contacts while providing unparalleled levels of customer service.
Works closely with customers and commercial teams to ensure program objectives are executed, maintaining proactive, positive and open lines of communication between relevant stakeholders.
Conducts regularly scheduled status meetings from pre-planning through program operation, and ongoing programs, with customers and commercial stakeholders and actively communicates program requirements.
Provides onsite leadership and support to customers, suppliers and facilities to ensure all functions or programs occur as planned while anticipating and/or resolving onsite challenges.
Acts as the main client contact point regarding operational issues, escalations, concerns and responses.
Support or lead project or VIP type work typically in the areas of product or therapy marketing and promotions
What you'll have
Bachelor's degree in business, communication, organizational leadership or related field of study
3+ years of experience in meeting/event planning, Project Management and/or Travel (including incentives, association, corporation) or hotel catering, convention, sales experience.
Analytical and forward thinker, results oriented, self-starter with results driven mindset
Ability to lead and demonstrate success managing small and large scale projects with strong negotiation and analytical skills.
Have a compliance mind-set with strong focus on adherence to industry guidelines, company policies and financial transparency
Excellent people and communication skills, ability to operate in a cross-cultural and complex matrix environment, and ability to build consensus across functions without direct authority.
Prior successful experience in developing and maintaining key client relationships.
Professional oral presentation and writing skills required.
Prior experience in effectively handling multiple projects/demands.
Excellent computer skills, knowledge of Microsoft Office Tools, Event Planning Tools, Adobe Photoshop, & ability to learn new technology quickly.
Ability to travel 30% of time required.
Nice to have
Certified Meeting Planning or Certified Meeting Management Certification
Medical or pharmaceutical meeting planning experience
Promotional or digital marketing experience
