Summary
As Office Coordinator you are responsible for the day to day operations in the Utrecht office. You will take care of divers general matters and make an important contribution and be the support person for the team in Utrecht.

Main tasks:

  • Manage reception

  • Manage post distribution

  • Order and maintain office supplies

  • Responsible for the external archive (Merak)

  • Coordinate, organize and/or support local events, like Sinterklaas, BBQ, local sales meeting etc

  • Coordinate executive visits on site

  • Responsible for the internal communication

  • Coordinate Business continuity planning for the site

  • Contact for authorities on permits and audits (fire brigade, inspection etc)

  • Coordinate local Emergency Plan and BHV organization

  • Leads EHS committee

  • Responsible for ergonomic workplaces at the office

  • Perform facility & EHS training for new hires

  • Coordination of PPE (Personal Protection Equipment)

  • Responsible for EHS annual report

  • Responsible for RI&E

  • Support (outsourced) Facility Manager with CAPEX/Coupa and set up new suppliers

  • Work closely with the outsourced Facility Manager

  • Coordination of legal signatures of the divers entities.

Requirements:

  • Relevant experiences

  • Can do attitude, be willing and able to tackle a wide variety of responsibilities.

  • Ability to be proactive, enthusiastic and goal orientated

  • A team player with demonstrated ability to collaborate with a diverse group of internal and external stakeholders

  • Strong communication skills - both oral and written - and both English and Dutch
